1. Scope

This policy explains how we collect, use, store, and disclose personal data on our website and in relation to our filing automation services.

2. Data we process

  • Account data: name, work email, role, company name.
  • Communication data: messages, tickets, call notes.
  • Usage data: pages viewed, device details, approximate location, timestamps, logs, cookie IDs.
  • Billing data: billing contact, invoice details, VAT/UID numbers.
  • Applicant data: CV, cover letter, references.

We do not knowingly collect data from children.

3. Sources

We obtain data from you, your organization, our processors, and lawful public sources.

4. Purposes and legal bases

  • Provide and operate services — performance of a contract.
  • Administration and billing — contract and legal obligation.
  • Security and fraud monitoring — legitimate interests.
  • Improvement and analytics — legitimate interests or consent where required.
  • Business communications — legitimate interests with opt-out, or consent where required.
  • Compliance — legal obligation.

5. Retention

We retain personal data only as long as needed for the stated purposes and laws. After expiry we erase or anonymize.

  • Processors for hosting, support, logging (Article 28 GDPR agreements).
  • Advisers for legal and accounting needs.
  • Authorities when required by law.
  • Corporate events such as reorganization with safeguards.

7. International transfers

For transfers outside Switzerland or the EEA, we rely on adequacy decisions or EU/Swiss Standard Contractual Clauses and apply technical and organizational measures.

8. Security

We apply role-based access, encryption in transit, segmented environments, and logging. No method is perfect. Protect credentials and notify us of suspected misuse.

9. Your rights

Depending on your jurisdiction you may have rights to access, rectify, erase, restrict, object, data portability, and withdraw consent. You may lodge a complaint with a supervisory authority.

11. GDPR Policy

Decliontra Office is the controller for site and account data. For customer workspaces we may act as processor on written instructions.

EEA users may contact their local authority. Swiss users may contact the FDPIC.

Send requests to privacy@decliontra.com. We verify identity and respond within statutory timelines.

As listed in section 4.

We use SCCs or adequacy where applicable and apply technical and organizational measures.

We do not make decisions with legal or similarly significant effects solely by automated means.
